Notes on sourcing, freight, documentation and the parts of international trade that catch buyers out. Written by the people who handle it.
Frequently asked
While the articles are being written, these are the questions we answer most often.
Working with us
What exactly does INSOURCES do?
We are a sourcing and trading house. We identify and qualify manufacturers, negotiate and place orders, inspect the goods, prepare the export documentation, arrange freight and deliver to your Incoterm. On most orders we act as principal. You buy from us, we buy from the factory, and we carry the performance risk in between.
Do you buy as a principal or act as an agent?
Both models are available and we tell you which one applies before you commit. As principal we invoice you directly and hold the supplier contract. As a buying agent we work on a disclosed commission and you contract with the factory. Principal is the default for project supply; agency suits clients who already have factory relationships.
Is there a minimum order value?
There is no fixed floor, but sea freight economics mean orders below roughly one LCL pallet rarely work out well for the buyer. For insulation and industrial materials, most enquiries we handle sit between one container and several hundred tonnes.
Which countries do you ship to?
Anywhere we can clear sanctions and compliance screening. Our established lanes run from India, China, the GCC and South-East Asia into the Middle East, Africa, Europe, the Indian subcontinent and the Americas.
How quickly do you respond to an enquiry?
Acknowledgement the same working day. A complete written quotation typically follows within 24 to 72 hours, depending on how many factories need to be costed and whether the specification needs clarifying first.
Pricing, payment & terms
Which Incoterms do you work on?
All of them, EXW, FCA, FOB, CFR, CIF, CPT, CIP, DAP, DPU and DDP. For first-time buyers we usually recommend CIF or DAP, because it puts the freight and clearance complexity on our side rather than yours.
What payment terms do you offer?
New accounts typically start on advance payment or an irrevocable letter of credit. Once a trading history is established, we offer documentary collections and 30 to 120 day terms subject to credit assessment. Facilities are arranged with regulated banking partners and remain subject to their approval.
Which currencies can we contract in?
USD, AED, EUR, GBP and INR. Forward cover can be arranged on longer-dated orders so an exchange movement does not consume the margin on a shipment.
Are your prices negotiable?
The commercial terms are, and we would rather negotiate on specification, volume, packing and payment terms than shave a supplier who will then quietly downgrade the material. If a target price is not achievable at the stated specification, we will say so and propose what is.
Quality & compliance
How do you qualify a supplier?
Process capability review, capacity check against your volume, certification verification, export history and reference checks. For significant or recurring orders we conduct an on-site audit covering equipment, quality systems and workforce conditions, and report what we find.
What inspection is included as standard?
A pre-shipment inspection to AQL 2.5, or your agreed sampling plan, with a photographic report issued before the balance payment falls due. In-line inspection, loading supervision and third-party laboratory testing are available and are strongly recommended on first orders.
What happens if the goods do not meet specification?
If our inspection catches it, the material is corrected or replaced before shipment. If a genuine specification failure reaches you, we handle it under the terms of sale: replacement, rework or credit. Pursue recovery from the factory ourselves rather than leaving you to chase them.
Can you supply against a client-nominated inspection agency?
Yes. We routinely work with independent surveyors and third-party inspection agencies nominated by buyers, banks or consultants, and we make sure their certificate is issued in the wording your documents require.
How do you handle sanctions and restricted goods?
Counterparties, vessels and end-users are screened against applicable sanctions lists, and dual-use goods are assessed before we quote. We decline transactions that do not clear, regardless of value.
Insulation specifics
Can you quote directly from a BOQ or piping isometric?
Yes. Send the approved BOQ, the line list with operating temperatures, or the project insulation specification, and we return a priced line-by-line offer with the mill datasheet against each item, flagging anything in the BOQ that does not comply with the stated standard.
Do you supply insulation accessories as well as the material?
That is the core of the offer. Pins, clips, banding, wing seals, mesh, foil and FSK tapes, mastics, sealants and fitting covers ship in the same consolidated container as the wool, board or blanket.
What certification comes with insulation material?
Mill test certificates covering density, thermal conductivity at the stated mean temperatures, fire classification to ASTM E84 or EN 13501-1, and where austenitic stainless steel is involved, chloride and leachable ion content per ASTM C795.
Can you match an existing approved brand or vendor list?
Where a project specification names approved manufacturers we will quote those brands directly. Where the specification is performance-based rather than brand-based, we can also offer a compliant equivalent alongside, with the comparison set out clearly so the consultant can assess it.
Logistics
Can you consolidate goods from several suppliers?
Yes, and it is usually the single biggest saving available to a multi-vendor buyer. Goods are collected into one warehouse, checked against the packing list and loaded as a single FCL: one bill of lading, one customs entry, one delivery.
Do you handle dangerous goods?
Yes, classification, UN packing, marking, DG declarations and IMDG or IATA compliant handling for chemicals, batteries, aerosols and flammables.
Can you hold stock for us?
We offer warehousing at origin and in destination markets, including bonded storage, with release against your call-off schedule and stock positions reported on a fixed cycle.
Is cargo insured?
All-risk marine cargo insurance is arranged on request against invoice value plus freight, typically plus ten percent. On CIF and CIP terms it is included by definition; on other terms we recommend it explicitly and can arrange it for you.
Next step
Send us a specification. Get a real quotation.
Drawings, a bill of quantities, a line list or a written brief, whatever you have. We come back with a costed, line-by-line offer, and tell you plainly if anything in it will not work.
